Step 1: Define Your Event Type

Paris venues and logistics differ dramatically based on event format:

  • Conference (50–500 pax): Palais des Congrès, Carrousel du Louvre, Marriott Rive Gauche
  • Incentive (20–100 pax): Private chateaux, Louvre evening access, Château de Versailles
  • Gala dinner (80–400 pax): Musée d'Orsay, Hôtel de Ville, Grand Palais (from 2025)

Step 2: Choose the Right Arrondissement

Paris is divided into 20 arrondissements. For corporate events, the most relevant are:

  • 8th (Champs-Élysées): Best for luxury hotels (Four Seasons George V, Bristol, Le Royal Monceau), Grand Palais events, and prestige arrivals
  • 1st (Louvre): Central access, Carrousel du Louvre events, Tuileries garden receptions

Step 3: Book Iconic Access Early

Private access to Paris landmarks is genuinely available — but demand is extreme:

  • Eiffel Tower private dinner: Book 12+ months in advance. Up to 200 pax on the first floor with full catering service
  • Louvre after-hours: 6+ months minimum. Groups of up to 3,000 can access selected galleries after 9:30pm
  • Versailles exclusive access: The Palace and gardens can be booked for private events through official channels with DMC support
  • Moulin Rouge private show: Available for groups of 40+ with private cabaret room and champagne dinner

Step 4: Navigate Transport

Transport is where Paris corporate events most commonly fail. Key rules:

  • Never promise fixed transfer times — Paris traffic is genuinely unpredictable
  • Coaches cannot enter most central Paris zones — plan RER/Métro combinations for large groups
  • CDG transfers: allow 75 minutes minimum regardless of traffic conditions
  • Always have a fleet of 4–6 sedans on standby for VIP movements regardless of main coach plan

Step 5: Catering Considerations

French gastronomy is an asset and a complexity. Key considerations:

  • Many Paris venues mandate in-house caterers — compare quality before assuming external is better
  • Wine selection matters: use a sommelier for all hosted dinners of 20+ pax
  • Dietary requirements must be confirmed 14 days minimum before events — French kitchens are less flexible on short notice than UK/US counterparts
  • Cheese course is not optional for French clients — include always
